Communications
You may notice there are several email addresses we use and even some fancy numbers in the subject line. We use a ticketing system called RT to handle many of our requests. If we move a conversation to a ticket, it will be more efficient on our end so the right person gets to it and all of the information is in the same place. Please don't edit the subject line when you reply - it can get confusing for those who are following the conversation.
We also have several email ailiases so routing your email to the proper one is the best way to get what you need as soon as we can. If you have many questions about different subjects, it's perfectly fine (even preferred) to send several emails, all going to the right place.
Different emails for different purposes
-
your-project-name@sfconservancy.org
It goes right to us, so there's no need to cc individual staff people on emails. Pono (our Director of Community Operations) looks at all the PLC email and routes it to the correct staff person, accounting for who is in the office and who can best help you. Please don't mix a lot of topics and different requests together, instead make a new ticket or thread so we can easily forward things to the person who can help you. If something does not fall into the categories below, send it to this email. -
approvals@tix.sfconservancy.org
This is where you would send conversations about spending money. -
accounts-payable@tix.sfconservancy.org
If you need reimbursement for an approved expense, send your request here, with your own name and the name of the event/expense in the subject line. -
legal@tix.sfconservancy.org
If you need us to read and vet a contract for you (internally or with an outside vendor), send a copy of that contract here. This could also be where you send a request for an employment contract.
Other ways to reach us
Libera / XMPP
You can find Conservancy staff in #conservancy on libera.chat or find us on XMPP, general@chat.sfconservancy.org. You can look for staff here if you are having a project emergency and need urgent help or advice. (This is also a great forum to discuss software freedom or get advice from other community members.) Please don't share private information on IRC, especially anything that may concern a legal matter.
Phone
We do not have a person who just answers the phone so this is not an option normally. However, if you are having an offsite event and think you might need to have a Conservancy number that you can call during the event, please let us know in advance.
